Creating Job Appointments

 

Creating job appointments is a streamlined process that allows users to schedule and manage jobs efficiently. This includes selecting accounts, service locations, and job types, as well as adding appointments with assigned staff and specific time slots. Users have the flexibility to create jobs with or without immediate appointments and can customize details to suit the needs of the task. Once completed, job appointments are displayed on the Work Order page for further action, such as acquiring customer signatures.

 

 

Prerequisites: Authorised Users.

 

 

Instructions

 

 

  1. From the main Dashboard, click the Booking tab





  2. You will be directed to the following page:





  3. To add a new job, click the blue New Job button to open up the page.





  4. In the Account field, choose an existing Account or click Create New.
    (Note: Clicking Create New will direct you to the Create Account page. For instructions on creating new accounts, please see the following link Creating Customer Accounts (Link).)



  5. Choose if this is an In-Field Service or not in the drop down bar in the In-Field Service field.



  6. You may opt to not add a specific appointment for the job (in cases where there is not yet a set time and date for the job to be carried out) or you may add an appointment date now. Click the blue Add button in the Appointments field to open up the page.




  7. Fill in the relevant fields, including choosing Assigned Staff, from the drop down menu. When filling in the Start Time and End Time fields, you may manually type the time in the format: 0:00, or click on the clock icon and use the arrows.





  8. Click Save, which will fill in the Appointments field on the Create New Job page with the new appointment time and details.
    (Note: You may add more than one appointment per job)



  9. In the Service Location field, choose an existing location or click Create New.
    (Note: Clicking Create New will direct you to the New Service Location page.)



  10. Fill in the remaining fields, choosing from the dropdown menu, where relevant, Job Type, Business Unit, Job Summary and Job Tags.



  11. Once all fields are complete and checked for accuracy, click Save.



  12. You should see confirmation “Creating New Job”.





  13. You will then be directed to the Work Order page where you will now see your added job appointment.





  14. You will be prompted to acquire the customer’s signature, where you may choose one of 3 options, Email Request, Sign Here or Send to Pad.
